Gone are the nightmare of overflowing inboxes, instant messages lost in the ether and meetings with no follow-up.  Beyond a project management tool, Asana serves as an archive and a reusable base for your future projects. Here we share a few features and benefits of this remarkable tool.

Coordinating teams on one or more projects is no easy matter. For the Morning teams, Asana accounts for 90% of internal communication, thereby dethroning email.

By its very instant nature, it is a wonderfully agile tool for organising yourself in “project-based working”. From the creation of a project to its development, by way of its coordination, everything runs through the task manager.

Among the most-used features, task duplication is a considerable asset for teams. The ability to create templates and reuse models from past tasks means teams don't have to start from scratch on every project. When assignments are similar from one project to the next, the duplication function is very handy for the huge saving of time it delivers.

Right from the early years, the precision and immediacy with which projects are organised on the tool won our employees over. Among the main features, instant notifications stand out. Collaborators are notified in real time of the actions carried out on a task! Enough to make assignments less and less time-consuming.

With the growth of the teams and the multiplicity of projects, Asana holds an ever more important place at Morning. “I could no longer picture opening a space without this tool”, says Tania Boros, Morning operations manager.

Direct exchanges between colleagues

The main aim is to give teams a common language that lets them talk to one another. At any time, every employee can create a project alongside their work by calling on other colleagues. In short, everything happens spontaneously and independently of any hierarchical consideration; anyone can call on whoever they wish. Thanks to the platform's “messages” feature, every colleague can communicate freely and directly with their co-workers, with no constraint of time or place. 

Asana is an agile project management tool, indispensable day to day. Our operations manager Tania Boros will happily vouch for it: “It's far more than a to-do list, it's the backbone of our organisation!”. The smoothness of the conversations that take place through the software makes it an important pillar of accountability for the people involved in a project.

To make direct messages more complete, the sender can mention a person, a project or even a task so that the recipient has direct access to it. This feature saves time, without having to track down the task or assignment in question! It is also possible to attach files. In short, Asana messages are like emails, but (much) better.

Taking on responsibility through project-based working

Asana's total transparency means that every project is, by default, freely accessible to all the members involved. This system brings a great deal of cross-functionality, which gives the new employee responsibility from their very first weeks with the company. The flat way of organising that Asana allows is a considerable asset for teams.

For any given project, everyone is autonomous and free to organise their tasks as they see fit, but each team-mate can observe another's progress on the assignments entrusted to them. In other words, if a co-worker wishes to see another's progress on one specific task, the status labels “to do”, “in progress” or “done” are provided for just that purpose. Long, fruitless meetings are a thing of the past! Every bit of task progress is available in real time

On Asana, for each project created, all the co-workers can create a task and assign it, even if they are on different teams. For greater efficiency, it is possible to add attachments and a description to the task to guide whoever carries it out.

Empowerment right from onboarding

The very structure of Asana onboarding immerses the new colleague in a climate of autonomy. For the Morning teams, it is Tania Boros, operations manager, who shares her experience. “We have created an onboarding journey on Asana through which, over the course of a month, Morning employees have tasks to complete”. On top of the initial hour-and-a-half training on the software, newcomers train themselves on the platform, on the platform! These introductory Asana sessions are essential for getting to grips with the tool. 

For Tania Boros, “We were able to see a real difference in onboarding between before and after Asana. In barely a month, our employees become fully up and running on the tool.” The rapid empowerment of our employees is a mark of the success of the Asana (self-)training we put in place. The features are picked up very quickly on the platform!

An HR onboarding journey is also mandatory for every new recruit, its stages, divided into tasks and sub-tasks, organised through Asana. From that point, the new employee is self-sufficient not only on the task manager, but also in handling tasks not covered by the training, which itself takes place through the tool.

As well as improving the efficiency of teams, the software is a wonderful hotbed of exchanges and conversations. A genuine network!
